Terms of Contract with Nationwide Vehicle Contracts Ltd
We reserve the right to make changes to these terms and conditions from time to time which will take effect from the date when the changes are posted on this website. Your continued use of this website will constitute your acceptance of any changes to these terms and conditions. Please remember that throughout these terms and conditions when we mention "we", "us" or "our", we mean Nationwide Vehicle Contracts Ltd. When we refer to "you" we mean the user of our website.
In relation to car and van hire (car and van rental agreements of up to 90 days), Nationwide Vehicle Contracts act as an introducer/agent on behalf of the car hire companies we work with.
Your hire of any vehicle is subject to the terms & conditions of car and van hire imposed by the vehicle hire company and to the corresponding laws of the country and/or state in which the rental takes place. Both our terms & conditions and those of the vehicle hire providers we work with contain some exclusions and limitations of liability.
Your booking on this website is conditional on you, the renter, accepting our terms. If you, the renter, do not agree with any part of them, you must not proceed with your booking. By confirming that you wish to book a car through this website you, the renter, indicate that you have read and understood and accept the relevant terms. If there is any part that you, the renter, do not fully understand, or if you have a query about the car hire or any other product, please Contact Us.
A copy of the terms & conditions of car hire imposed by the car hire company will be given to you with your Master Hire Agreement and/or when you collect your vehicle or when it is delivered to you (whichever applies).
Please note, vehicle hire agreements of less than 90 days are not regulated by the Financial Conduct Authority.
Accuracy of information
Whilst we make every effort to ensure the accuracy of the information on this website, neither we nor our affiliates, suppliers or agents can be held responsible by you for the accuracy of such information. It is solely your responsibility to evaluate the accuracy, completeness and usefulness of all information provided on this website.
For the avoidance of any doubt Nationwide Vehicle Contracts Ltd will not be liable for any loss or damage arising, in contact, tort or otherwise, directly or indirectly from the use of or reliance upon any information contained on the Website, nor products or services provided by third parties (whether individuals or corporations) featured on the site.
Vehicle hire companies reserve the right to refuse a car or van to any person who is considered unfit to drive or does not meet eligibility requirements. We will not be liable for the completion of travel arrangements, nor for any refund, compensation or any other costs you, the renter, may have to pay in such a case.
We cannot accept liability for any charges incurred as a result of documentation signed for and accepted at the car hire counter.
We will not be held responsible for anyone driving under the influence of alcohol/drugs, causing wilful damage, driving off-road or driving without due care and attention. You, the renter, will accept full responsibility in respect of such claims. This list is not exhaustive.
Daily Rate Calculations / Periods of Hire / Period of Hire Extensions
Prices on the web site are for information purposes only and do not constitute an offer by Nationwide Vehicle Contracts Ltd which is capable of acceptance by you.
Nationwide reserves the right to change the price of the vehicle, either before or after an order is placed. If the price of a vehicle is changed after an order is placed Nationwide shall notify you of the change and you have the right to withdraw your order if the change is not acceptable.
Rates quoted exclude fuel, insurance, delivery and collection and VAT at the prevailing rate (unless otherwise stated).
Vehicles are rented at a daily rate for the Rental Period according to the agreed charge per Rental Day. The price of your car hire will be confirmed at time of booking and calculated on the basis of 24-hour units.
The rental will commence on delivery of the Vehicle at the time and to the address agreed between the Customer and the vehicle hire provider.
If you wish to extend the period of hire after picking the vehicle up, or if you drop the vehicle off later than stated on your contract, the contract for such an extension will always be with the car hire company directly and the extra time will be charged for by the car hire company at the local daily rate, which may be higher than the rates agreed with us at the time of booking.
Where the Rental Period for the Vehicle is 28 days or more the Vehicle will be subject to a Mileage Allowance of 100 miles per day. The Customer will pay to a Mileage Rent for each mile the Vehicle has been driven in excess of the Mileage Allowance at the prevailing rate set by the vehicle hire provider.
The minimum age generally to rent a vehicle from us is 23. The age policy may vary in certain circumstances and any such variation will be indicated during the booking process.
Minimum age requirements on larger cars may also be higher at some locations. 25+ on larger cars and restrictions on drivers over 70.
Booking Your Vehicle
An enquiry on a rental vehicle from the Nationwide Vehicle Contracts Ltd’s website is an expression of interest by you to obtain the vehicle ordered at a price similar to that advertised.
When you enquire on a car or other product on our site, we will email or call you to confirm its availability within TIME PERIOD of booking. We will always make first contact with all customers
We are unable to guarantee a particular make or model of car. The car shown on our website is for guidance only and the vehicle hire company may instead provide a different vehicle which is deemed to be similar or superior.
We may introduce you to our carefully selected panel of finance providers who may then pay us for the introduction. We will not refer you outside of this panel.
Following an accepted order, we will carry out a credit check on you as part of your application process. If you are applying on behalf of a limited company, you are confirming you have authority to authorise a credit search in the name of the Company and each Director.
Please note that unless you have signed the Master Hire Rental Agreement to accept the vehicle and payment has been taken, there is no contract between you or the car hire provider. The master agreement is just between customer and broker, each rental provider will have their own contracts.
You are responsible for arranging your own insurance for the hire vehicle provided. This insurance cover must be fully comprehensive for each Vehicle rented and shall be effective from the time of delivery until 12pm on the working day following termination of the Rental Period or collection of the Vehicle, whichever is the earlier.
You will be responsible for payment of any policy excess or VAT not covered by insurance.
If the Vehicle is stolen during the rental period, you must continue to pay all Rental Charges up to and including the date on which you provide the vehicle hire provider with a valid police crime number in respect of the Vehicle.
If the Vehicle becomes a write-off during the rental period, you will continue to pay all Rental Charges up to the date that the vehicle hire provider receives payment of an amount equivalent to the full value of the Vehicle less any salvage costs.
Delivery & Collections
For a small fee, we can arrange delivery and/or collection of your hire vehicle from your home or place of work. We will advise you whether a fee will apply when you confirm your pick-up / drop-off times, along with the full address details, in your booking request.
We require at least 2 working hours to arrange delivery and/or collection to a home address and 24 working hours to arrange delivery and/or collection for business address. Specialist vehicles and vans may require up to 48 working hours’ notice.
For delivery to your home address, the address must be the same as the address supplied on your finance application and your driving licence and you must be available to accept delivery of the vehicle and to sign the Rental Agreement.
For delivery to your business address, you must give us 24 working hours’ notice. You will need to provide proof of your home address (as above) and proof of your employment at the business premises. The Driver also must show photographic proof of identity in the form of a current passport or driving licence at the time of delivery and must be available to accept delivery of the vehicle and to sign the Rental Agreement.
For collection from a home address or a business address, you must be available to inspect the vehicle with us and to sign the collection paperwork when the vehicle hire provider comes to collect the vehicle.
Unfortunately, we are unable to provide refunds for unused time if a car is picked up late or dropped off early. If you are unable to pick the car up at the agreed time and date, it is essential you contact us as soon as possible. If you do not, there is no guarantee that the car will still be available and you will not be entitled to any refund.
Fuel and Refuelling Policy
All vehicles are supplied with a full tank of fuel. You must return the vehicle to the vehicle hire provider with a full tank of fuel to avoid premium refuelling charges.
Fuel used from the suppliers location to the delivery address and then from the collection address to the suppliers nearest location is the responsibility of the customer.
Cancellation, Modification, Refund and No Show Policy:
You will pay a Cancellation Charge if an order is cancelled less than two hours prior to delivery in the case of a standard vehicle or less than 4 hours prior to delivery in the case of a specialist vehicle.
With certain car hire companies, amending the driver’s name or the pick-up location may require the cancellation and re-booking of a rental. Terms & conditions vary per car hire company and will be clearly communicated during the booking process.
We have the right to cancel a booking upon limited or immediate notice in certain circumstances, such as the insolvency of a car hire company. In all circumstances we will use our reasonable endeavours to arrange for the supply of an alternative car, but at periods of high demand it may not be possible.
Where a customer has made a fully pre-paid booking and we notify the customer up to 48 hours before pick-up, the customer will receive a return of all monies already paid. In the unlikely circumstance we provide a fully pre-paid customer with notice of cancellation within 48 hours of pick-up, we will provide a full refund of all monies paid.
Every driver must have a full, valid driving licence they have held for at least 12 months (2 years at certain locations). Expired or provisional licences will not be accepted.
Holders of the old style UK paper licence must also provide a Share Driving Licence passcode together with an additional form of photographic ID which can be a Full Valid Passport, an Armed Forces ID Card or a Police Warrant Card. No other form of identification will be accepted.
When booking the car, you must advise us of any endorsements / points on a driving licence and the vehicle hire provider reserve the right to refuse the booking on this basis, according to the terms & conditions of the car hire companies we work with.
No refunds will be given if a car hire company refuses to supply a car because of undisclosed endorsements – or because you cannot provide a driving licence, its counterpart, or the required information about endorsements.
All drivers must read the terms and conditions of the car hire company providing their car prior to pick-up, as certain companies and locations may have additional requirements.
Mechanical Difficulties / Accidents
In the case of breakdown or mechanical difficulties, you, the renter, must call the vehicle hire provider immediately. The vehicle hire company must give authority for repairs or replacement cars. If you, the renter, are involved in an accident, the local police and the vehicle hire company must be contacted. Keep copies of all relevant documentation you are asked to complete. This may be needed if you, the renter, wish to make a claim.
Fines & Charges
You are liable for the payment of all charges, fees and costs arising from any congestion charge, bus lane penalties, speeding fines, road traffic offence, or parking offence involving the vehicle, including costs from the vehicle being clamped, seized or towed away & any charges/costs (or failure to pay) of the appropriate organisation if & when they ask for these payments together with an administration fee.
If you have incurred extra costs such as fines or tolls or caused damage and/or loss to the Vehicle and/or accessories then you will be charged you at a later date, together with any associated administrative charges if, after the Hire Period has terminated, the vehicle hire provider becomes aware of them.
A grace period of 59 minutes is allowed after the end of a Rental Day. If the Vehicle is retained beyond such grace period, one day’s charge will be made for each Rental Day or part thereof for which the Vehicle is retained beyond the original return time.
When a Vehicle is collected or returned to the vehicle hire provider, any additional damage will be noted and the Customer or its representative will provide a signature to confirm the condition of the Vehicle.
Nationwide Vehicle Contracts is committed to customer service. If you are dissatisfied in any way with your rental, please report this to the car hire company as soon as feasible. It is difficult for us to assess any claim regarding your rental if this action is not taken at the time. If you, the renter, wish to make a complaint, please ensure you contact our Customer Service Team within 3 months of dropping the car off.
For a copy of our customer complaints procedure or if you have any feedback regarding our service you should email firstname.lastname@example.org. We are committed to acknowledging your feedback within 3 working days of receipt and undertaking all reasonable efforts to resolving it promptly under the circumstances. We will provide you with a timescale for resolving the dispute and keep you regularly updated with its progress. We would seek to resolve any complaint or concern you may have in the first instance if we are unable to then you may be able to refer your complaint to the Financial Ombudsman Service.
